This policy explains what I collect through this site, why I collect it, and the choices you have.

Who is responsible
This website and newsletter are operated by Alexander Swan in Sydney, Australia. Questions, access requests, corrections, deletion requests, and privacy complaints can be sent to swan@whitehorseai.ai.
What I collect
When you subscribe or request a field guide, I collect:
- your email address;
- which signup form you used and whether you requested the guide;
- the consent wording version and the time you submitted the form; and
- basic request information used to prevent abuse and troubleshoot delivery.
I do not ask for sensitive information through these forms. Please do not send passwords, access tokens, or other secrets by email.
How I use it
I use this information to:
- add you to my newsletter subscriber list;
- send the private field-guide link when you request it;
- send practical notes, updates, and occasional information about my work;
- keep the signup and delivery systems secure and working; and
- meet legal obligations and respond to requests or complaints.
The disclosure beneath each signup form explains these uses. Submitting your email records your express consent. You can withdraw that consent at any time using the unsubscribe link in a newsletter or by emailing me.
Services that handle the information
I use a small number of service providers to operate the site and send email:
- Beehiiv stores the subscriber list and sends the newsletter.
- Resend sends the requested field-guide email.
- Vercel hosts the website and processes web requests.
These providers may process information outside Australia, including in the United States and other places where they or their subprocessors operate. Their own privacy notices explain their handling and safeguards. I do not sell your personal information.
Subscriber marker and guide access
After a successful subscription, this site sets a first-party cookie containing only the value “1”. It does not contain your email address or a subscriber identifier. The marker lasts for up to 400 days and lets this browser skip the email gate on later visits. The field-guide link itself is permanent and unlisted.
Retention and security
Subscriber information is kept while you are subscribed and for as long as reasonably needed to provide the service, keep an unsubscribe record, resolve issues, or meet legal obligations. I use access controls and reputable service providers to protect it, but no internet service can promise absolute security.
Your choices
Every newsletter will provide an unsubscribe method. I will process unsubscribe requests within five working days. You can also ask to access, correct, or delete information associated with your email address by contacting me. I may need to keep a minimal suppression record so you are not subscribed again by mistake.
Questions and complaints
Email swan@whitehorseai.ai with enough detail for me to understand the request. I will investigate and respond within a reasonable time. You can also learn about privacy rights from the Office of the Australian Information Commissioner and email rules from the Australian Communications and Media Authority.
Changes to this policy
I may update this policy when the site, newsletter, providers, or legal requirements change. The date at the top will show the latest version.
